What a monthly close looks like

Five steps. The same five every month, in the same order, on a phone if that is what you have with you.

  1. Enter the month-end balances

    One card per bank and brokerage account, with last month’s figure shown behind yours and a running total as you type.

  2. Confirm the money that moved

    Every pending deposit and withdrawal for the month, confirmed or excluded one at a time. The step will not advance while anything is undecided.

  3. Book costs and dividends

    Add an expense, record a fee payment, or book a dividend with its country’s withholding-tax rate prefilled and allocated across participants by ownership.

  4. Compute and review

    The engine runs and shows you the gross return, the koers per series, the fees and the four reconciliation checks: with the difference and the threshold for each.

  5. Confirm and lock

    Lock the month yourself, or send it for a second person to confirm first. After that it is immutable: reopening is admin-only and needs a written reason.

Control

Built so a wrong number cannot go quiet

Fund administration is not really a data-entry problem. It is a problem of knowing that what you sent was right.

  • Locked months stay locked

    Once a month is locked the database itself refuses to change it. Corrections happen by reopening it (admin only, with a written reason) or in the current month, the way a fund administrator would do it anyway.

  • Two people, if you want two people

    Turn on NAV confirmation and the person who prepares the month cannot be the person who locks it.

  • Nothing arrives without a record

    Every participant change is written to a history you can search. Every statement send is a delivery row with its own status.

Where this came from

Built for one fund, then opened up for others

FundFlow was developed to run the monthly administration of one fund: three fee series, fourteen participants, and a cycle of balances, fees, high-water marks, reconciliation and statements every month. Every rule in the engine was checked against how that fund actually worked, to the cent. Once it ran that fund properly, we opened it up as a product, because the job is the same for every manager doing it in a spreadsheet. It is built in the Netherlands.

Before you ask

The four questions everyone asks

What does FundFlow cost?

€149 per fund per month, or €1,428 per fund per year, excluding VAT. The price does not change with the size of the fund, the number of participants or the number of people who log in. The first 30 days are free and no payment details are collected to start.

I already have years of history. Can I move?

Yes. You anchor the fund with one opening month: the koers per series, the high-water marks and each participant’s units or value at that date. From the month after that you close normally in FundFlow. Months before your anchor month stay where they are. FundFlow does not reconstruct them.

What happens if I close a month wrong?

The reconciliation checks are there to stop most of it: a failing check blocks the lock. If something still needs correcting after a lock, an administrator can reopen the month with a written reason, or you can post a correction in the current month. Both are recorded.

Is it in Dutch?

Fully. The app, the emails and the PDF statements your participants receive are all available in Dutch and English, and the language of a fund’s reporting is a setting per fund.
